JOB TITLE: Academy Secretary
SUPERVISOR: Academy Principal
POSITION PURPOSE
Perform secretarial functions for the school.
RESPONSIBILITIES
1. Performs clerical support for the academy principal and other administrative staff, to include, but not limited to, mail distribution, attendance office functions, checking students in and out, entering Infinite Campus Attendance, printing various reports, initiating homework requests, maintain schedules and calendars, academy correspondence and data entry into general RUSD databases.
2. Assist staff, students and visitors with various problems or concerns.
3. Initiate in-house substitute teacher rotation.
4. Process student accident reports
5. Process and maintain student records.
6. Responsible for identifying missing students prior to the Third Friday count in order to provide accurate data
7. Tracks and prepare absence reports for payroll
8. Support implementation of district and state assessments.
9. Maintain office supply inventory for department.
10. Assist ill students when the Nurse is unavailable and/or assist with the distribution of medication.
11. Perform other Department support functions as assigned.
Education/Training: High school diploma or equivalent.
Experience: Three (3) or more years as a secretary with an emphasis in areas relevant to the responsibilities of this position. Three (3) years of experience using Microsoft Word, Excel and PowerPoint
This position will require an advanced understanding of all efficiencies of Google Apps.
Knowledge, Skills, & Abilities:
1. Must have excellent written and oral communication and interpersonal skills.
2. Must have ability to work well with interruptions and maintain a positive image and professional demeanor.
3. Must have working knowledge of current office equipment.
4. Must be able to work independently and accurately with minimal supervision.
5. Must be proficient in the use of various software including, but not limited to, Microsoft Word and Excel.
6. Must be flexible and adaptable to meet changing requirements.
7. Must be willing and able to keep abreast of current technology as required (exp. Student data system).
8. Must have an excellent attendance record and a positive attitude.
9. Maintain confidentiality of student and staff records/information.
